1. Information We Collect

When you use ProKuote, we collect information necessary to provide the Service, including:

• Account information: email address, password (hashed), and phone number provided at signup.
• Business profile: company name, address, phone, license number, insurance policy, logo, and contractor signature.
• Client and project data: client names, contact details, project addresses, estimates, contracts, and related documents you create.
• Usage data: pages visited, features used, and timestamps of actions within the platform.
• Payment information: processed securely through our payment provider; we do not store full card numbers.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve the Service; send estimates, contracts, and notifications to your clients on your behalf; generate AI-assisted documents using the project and client data you provide; process payments and manage your subscription; send you service-related communications; and comply with legal obligations.

We do not sell your personal information or your clients' information to third parties.

3. Data Storage and Security

Your data is stored using Supabase, a secure cloud database platform. Supabase implements industry-standard security measures including encryption at rest and in transit, row-level security policies, and regular backups. While we take reasonable precautions to protect your data, no system is completely secure and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

4. Third-Party Services

ProKuote integrates with the following third-party services to deliver core functionality:

• Supabase — Database, authentication, and file storage. Your data resides on Supabase infrastructure.
• Resend — Used to send transactional emails to your clients (estimates, contracts). Client email addresses are transmitted to Resend for delivery.
• Twilio — Used to send SMS notifications to your clients. Client phone numbers are transmitted to Twilio for delivery.
• Anthropic (Claude AI) — Used to generate estimate content, contracts, and translations. Project and client context is transmitted to Anthropic's API to generate documents. Data is processed according to Anthropic's API privacy terms.
• Vercel — The platform is hosted on Vercel. Request logs and performance data may be processed by Vercel infrastructure.

Each of these providers has their own privacy policies governing their use of data transmitted to them.

5. Data Retention

We retain your account data and project data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law. Anonymized or aggregated data may be retained indefinitely for analytics purposes.

6. Your Rights

Depending on your jurisdiction, you may have rights regarding your personal data, including the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your account and associated data, and object to or restrict certain processing of your data.
